How a Google Sheets Overhaul Transformed Our Financial Aid Audits
A small financial aid team rebuilt a cluttered spreadsheet into a self-flagging dashboard, cut a recurring audit finding down to one, and is now preparing to hand the whole system off to Portico Student (SIS).

In a centralized financial aid office, tracking the student journey is a complex puzzle. Our team needed a clear, real-time way to monitor where students stood in the enrollment and financial aid packaging processes. We had to know exactly what was required from students, financial aid officers, and campus teams, while simultaneously tracking disbursements, midpoint SAPs, and refunds. Managing all of these moving parts across a fully remote team was a constant challenge.
The Matrix turned scattered tracking into one visual dashboard
To solve this, our small team collaborated to completely reconstruct our workflow. We took our existing spreadsheet and built a much more robust iteration: The Matrix. Built entirely in Google Sheets, we used categorical tabs, conditional formatting, and strict data validation. This transformed the sheet into a visual dashboard where critical items are flagged automatically and dropdown menus make data entry seamless.
We chose Google Sheets because our team was already comfortable with spreadsheets, and it offered a solid ecosystem for remote collaboration and permission management.
Fewer errors, faster audits: the results spoke for themselves
The results exceeded our expectations. Previously, manual entry and tracking left room for human error, resulting in a handful of findings during our annual audit. Following the Matrix overhaul, our next annual audit resulted in exactly one finding, a milestone we had never achieved before.
The bigger shift: from silos to shared visibility
Beyond compliance, the Matrix has completely changed how we work. With important tasks visually flagged, team members can instantly see where bottlenecks are and jump in to help one another. We now have tighter tracking on anticipated refunds, ensuring timely issuance of funds to students, and we can guarantee every step of the R2T4 process is completed well within regulatory timeframes. Never underestimate the power of a well-built spreadsheet.
What's next: retiring the spreadsheet for Portico SIS
We've successfully used our Matrix for four years now, but it takes a lot of time and effort to maintain and utilize effectively. We're excited for our next journey: transitioning to the Portico SIS.
Historically, many of our departments worked in silos. While we built bridges between them over the years, those connections were often clunky, manual, and dependent on a single person to pass information along. With the Portico SIS, we're moving beyond manual sheets. No matter what department we're in, we'll all have direct access to the same database, the same powerful dashboards, and the same reports, eliminating the need for a middleman and truly unifying our campus operations.
